Louisiana CCAP: Sending Attendance From CheckInKids to KinderConnect (2026)

Child care centers in Louisiana can now send subsidy attendance from CheckInKids to KinderConnect, the time and attendance system for the Child Care Assistance Program. Here is the setup, which starts in EdLink, and the rules that protect your families' assistance.

The Short Version

Louisiana puts attendance in the families' hands: parents and the adults they name check children in and out, and too many late or after-the-fact entries can cost a family its assistance. CheckInKids fits that model. Families check in with the phone number on file, your center reviews and sends each week, and the days are in KinderConnect before the state submits the two-week period.

Where these rules come from

The Louisiana Department of Education (LDOE) runs CCAP, and KinderConnect is its time and attendance system. The CCAP rules (LAC 28, Part CLXV) require providers to use the time and attendance system the department designates. This guide summarizes those sources and the KinderConnect support site (edlinkinfo.com) as of November 2026. Confirm anything you rely on with LDOE.

How CCAP Attendance Works

You reach KinderConnect through LDOE's EdLink portal (ldoe.edlink.la.gov). The support site describes three kinds of provider:

  • Tablet providers, whose sponsors record attendance in KinderSystems' KinderSign and KinderSmart apps on a state-issued or personal tablet
  • KinderBridge providers, who use their own child care software for sponsors to record attendance
  • CenterTrack providers, who use KinderSystems' own center software

With CheckInKids, your center is a KinderBridge provider.

Connecting CheckInKids, Step by Step

  1. Set up EdLink. Create your EdLink account and complete the new-provider page. Once your license is approved, request the Entity Manager and Security Coordinator roles. Confirmation can take up to 48 hours.
  2. Request KinderConnect access with the role "CCAP Attendance Administrator (Provider Administrator)", then open KinderConnect under Entity Management.
  3. Ask us to turn on KinderConnect for your center at hello@checkinkids.com.
  4. Call KinderSystems Louisiana support at 1-888-829-9258 with your license number and ask them to set up KinderBridge for CheckInKids. They give you a Provider ID and a group password.
  5. Enter them in CheckInKids on the KinderConnect page, Setup tab. Choose your start date and press Find matches. Exact matches link at once; you confirm close matches and link any other CCAP child by hand.
  6. Send every week, so each two-week period is in KinderConnect before it submits automatically, then review it in KinderConnect.

Louisiana Rules to Know

Sponsors record attendance

In KinderBridge centers, sponsors (families) record attendance in the center's software. A household designee is an adult whom the head of household, another responsible household member or an authorized representative names in writing to drop off and pick up the child. Louisiana's rules also say "A child shall never be released to anyone unless authorized in writing by the parent."

Back scans can end a family's assistance

A back scan is a check-in or check-out a family records at a time other than the actual arrival or departure. Four or more in seven consecutive days, or ten or more in a calendar month, is "excessive", and excessive back scanning is grounds for ending a household's assistance, with ineligibility of up to 24 months or permanently. A month with no attendance at all counts as excessive absences, which is also grounds for ending assistance.

Check in at the real time

The safest habit is for each family to check in and out at the moment of arrival and pickup. The back-scan rule counts check-ins and check-outs that a family records at any time other than the actual arrival or departure.

Two-week periods that submit on their own

Service periods run two weeks, Monday to Sunday. All attendance is submitted to the state automatically seven days after a period ends, whatever its status. Review and correct each day in CheckInKids before you send it.

Closures

A temporary closure of 6 to 29 days must be reported to LDOE within one day, and a permanent closure within seven.

Payment

Payments show in KinderConnect under Provider, Payment. Ask LDOE about rates and anything specific to your payments.

How CheckInKids Helps

  • Families and authorized pickups check in with the phone number on file, on your tablet or on their own phone, so their check-ins name the sponsor, and KinderConnect receives that name.
  • At check-in, an adult sees only the children whose pickup list they are on.
  • A day with a missing time, such as a check-in with no check-out, is held back with the reason so you fix it first.
  • Days outside a child's authorization are shown but never sent.
  • CheckInKids keeps each time correction: who made it, the old and new times, and when.
Certified KinderBridge integration: send attendance to KinderConnect.

Frequently Asked Questions

Can I use my own child care software for CCAP attendance?

Yes, if your software is listed as Active on the KinderBridge vendor list at edlinkinfo.com. Louisiana's KinderConnect support site lists KinderBridge providers, whose sponsors record attendance in the provider's own child care software, alongside providers on the state tablet apps.

Who has to check children in and out under CCAP?

Sponsors: the head of household, usually the parent, or an adult the household has designated in writing. A child may never be released to anyone the parent has not authorized in writing.

What counts as excessive back scanning?

A back scan is a check-in or check-out a family records at a time other than the actual arrival or departure. Four or more in seven consecutive days, or ten or more in a calendar month, is excessive and is grounds for ending a household's assistance.

When is CCAP attendance submitted?

Automatically, seven days after each two-week service period ends.
